The Ready. Safe. Travel. Workshop Series is a one-day, hands-on program, replicated in 4 Canadian cities, as a continuation of the Ready. Safe. Travel. Training Program.

This will be the first opportunity to return to ‘networking’ again, in a way that is convenient, safe and appropriate. These workshops will be a critical way to ease back into meeting again, while also keeping in the know of the changing Canadian industry, trends and evolutions for the days and months ahead.

   Session #1 - Stakeholder Engagement

Policies of the future are an evolving intersection from all stakeholder groups.  What is your travel and meetings policy going to look like and who needs to be involved? How do other corporate policies blend into travel and meetings, such as Human Resources, Privacy, Security, Risk and more? 

This session will explore the importance of revisiting your corporate policies, understanding what are new components that should be considered, and how to best map out the key stakeholders who need to be at the table. Leading this informative session are two well-established corporate travel buyers, both leaders on the GBTA Canada Advisory Board; Sue Spear, Manager Corporate Travel & Fleet, Cengage Learning, and Sharlene Ketwaroo-Nanoo, Category Manager, Rogers Communications.

   Session #2 - Risk Mitigation

Privacy laws, duty of care and company risk mitigation have never been more important. This session will provide insight into how best to interpret and implement the changing dynamics around: vaccination/testing policies, travel or meetings waivers, necessity of travel, at risk individuals, digital health certificates, decline entry due to vaccine mixing, travel and health insurance considerations, and more.  All are important topics that require clarity, understanding and applicability for your company and employees.  In this session we will hear recorded insights from Arielle Meloul-Wechsler, Chief Human Resources Officer, Air Canada, Dr. Tammy McKnight, Chief Medical Officer, WestJet and Dr. Heather Langille, Consultant Physician, International SOS, Corporate Medical Advisors, as they share best practices around some of these key concepts from a Canadian employer and industry perspective.  Then the room will break into table work for individual discussion and brainstorming.

   Session #3 - Technology Applicability

Technology mapping – understand what tech is new and emerging, applicable for travel buyers operationally, and addresses the needs of the changing stakeholders within your organization and for your travellers individually. 

This session will help you to identify how best to assess the right tech for your company & travellers, and how to engage with the new set of internal stakeholders and changing policies.  Map out corporate operation technology (ie. OBT, Expense, Meetings etc.) vs. travelller technology (travel mobile apps, ArriveCan, vaccine passports etc.) vs Security, Privacy and Duty of Care concerns.  Look at how to review and assess applicability for all of these within your company. 

This session will be facilitated by GBTA Canada’s Technology Committee Chair, Greg Allworth, Regional Vice President, Canada, Emburse and Technology Committee Vice-Chair, Kristen Hrycoy, Senior Partner Business Manager, Canada, SAP Concur.

   Session #4 – Budget Assessment

Budgets have been dramatically reduced and travel & meeting spend continues to be challenged. Looking at everything from assessing city pair changes – hotel destination and length of stay requirements – mileage reimbursement versus car rental – when to travel or meet live versus virtual meetings (ie. zoom and teams) – collaboration spaces for remote workers versus in-office, and more. 

Hear from local travel buyers with insight on what they are doing to help navigate new budget assessment processes, how to incorporate finance and business owners into the discussion and secure the proper buy-in to begin to build back to travel and meetings once again.

   Session #5 - Supplier Engagement

The criteria to select preferred suppliers has evolved, requiring that buyers place more emphasis on safety, liability, DE&I, sustainability, pricing, and more.  As you engage with your suppliers to determine future opportunities, it is essential to identify best practices to re-assess what is important in your supplier relationships and how they contribute to your company direction. 

This includes identifying appropriate RF(x) strategies, determining when you require a strategic versus transactional supplier, and articulating what is important to the culture of your company and needs of your employees.  This dynamic, open-room discussion will encourage a peer-based exchange of ideas, with supporting dialogue from experts in the key areas of TMC, Air, Hotel, Meetings and Ground Transportation.  Discuss what new areas to consider, and how to adapt your supplier engagement plan to positively impact your future practices and policies.

   Session #6 - Traveller & Attendee Experience

 With more companies and their travellers anticipated to return to the road, skies, and meeting again, it is important to know what has changed and how this will impact the experience for your employees.  Preparing your internal stakeholders and employees with the most relevant knowledge and expectations, helps everyone ease back with confidence. 

This session will explore the entire journey and what individuals can expect as they return to travel and meeting in-person. We will open with recorded messages from three different perspectives: The Buyer PerspectiveBrooke Davis, Global Travel & Event Manager, lululemon.  The Road Warrior Traveller PerspectiveCeleste Haldane with the BC Treaty Commission.  The Meeting Planner Perspective: Deborah Bowers, North American Meeting & Event Planner, IKO Industries.  Each will share their biggest challenges and questions facing individuals today, looking at all aspects of the trip from: pre-trip, PCR testing, taxi/ride-share to the airport, security, in-flight, arrivals, hotel check-in & stay, meetings, car rental etc.  We will then engage in open discussion involving a variety of travel suppliers, so that collectively we can identify actionable tactics that will help put your employees at ease and put your travel & meeting policies into practice.
