Cost, Control and Value: Why Hotel and Meetings RFPs Are Still the MVPs
The newly released report from GBTA and Cvent reveals that companies continue to rely on structured Requests for Proposals (RFPs) to drive successful hotel and meetings programs that not only save money but also achieve other key priorities including employee satisfaction and safety.
In Hotel and Meeting Sourcing: The Current Landscape and the Future, industry pros across North America and Europe weigh in on how sourcing is evolving. The verdict? RFPs are not only prioritizing costs but are also about control, consistency and carbon-conscious choices.
Key insights include:
-
63% of travel programs rely on structured RFPs for transient room nights—including more than 80% of mid-sized and large programs. Small travel programs are more likely to negotiate informally outside of an RFP process.
Travel buyers see drawbacks from negotiating with hotels outside of an RFP process: most commonly, manual processes/less standardization (53%) and hotels might not fully understand contract terms (47%).
-
79% of buyers negotiate fixed rates, but perks and amenities are the new battleground.
-
Only 32% have a mature meetings program—leaving major savings on the table.
