Frequently Asked Questions

No. Both agents use guided, form-style inputs, you answer questions about your program and the tool does the assembly work. If you can fill out a web form, you can use them. No prompting skills, no coding, no AI background required.

The GBTA foundation underneath. The RFP Agent is built on GBTA’s standardized library of nearly 1,000 RFP questions across TMC, Air, and Hotel, something you can’t get from a blank chatbot window. These tools are purpose-built for the work travel buyers actually do.

Treat every output as a strong first draft. The tools are transparent about what they did, the RFP Agent shows you exactly which questions were included, which were removed, and what assumptions it made, so you can review and adjust. You’re always the final reviewer.

The tools work only with what you enter during a session. They don’t connect to your company systems or pull your data from anywhere else, you bring the inputs, the tool does the structuring.

The agents are launching as a GBTA member benefit. Visit the booth for details on how to get started.  The AI Pathways curriculum will be a paid program.

It uses the same login as your GBTA membership.

Both. A quick start guide and the agents launch ahead of the AI Pathways curriculum, a director-level program covering how to evaluate, govern, and deploy AI in a travel program, and how to use it to build executive influence. Complete it and you earn a GBTA completion certificate. Each agent comes with an onboarding guide that connects directly to the curriculum.

These two agents are our first releases, and we will use member feedback, adoption insights, and identified needs to help determine future development priorities.  As the program evolves, we will continue to evaluate opportunities for additional AI-powered tools that deliver meaningful value for travel professionals.

It builds a first-draft RFP for you. Enter your program details, category, industry, spend, scope, traveler profile, priorities, and the agent curates GBTA’s standardized library of nearly 1,000 questions down to the set that fits your program, then assembles it into a structured workbook you can edit and send to suppliers.

A structured Excel workbook, not a wall of text. It includes a cover sheet, a record of the inputs you used, an assumption log, and a full accounting of which questions were included versus removed, so you can see exactly why your RFP looks the way it does and add anything back.

It’s a strong first-pass skeleton that solves the blank-page problem and saves you hours of question triage. You’ll still want to review and tailor it with your program-specific detail before it goes out, think of it as an 80% head start, not a finished RFP.

After your RFI, at the start of RFP construction. Once you’ve qualified your supplier list, the tool takes you from blank template to a structured, program-specific question set in one pass, and you can come back to it for each new sourcing event, since scope and priorities change every time.

You can edit the workbook output freely to add your own questions before sending. Support for adding custom questions directly through natural-language input is on the roadmap, it’s one of the most-requested capabilities from the buyers who’ve tested it.

Nothing is hidden. The Removed Questions view shows everything that was cut, and you can add any of it back. The curation saves you triage time, it doesn’t make the decisions for you.

Hotel and Air RFPs, built on GBTA’s standardized question sets. The underlying GBTA library spans TMC, Air, and Hotel, and category expansion is part of the roadmap.

Three things. It’s built on the GBTA standards and templates, so suppliers recognize it, and it stays current as the industry evolves. It tailors the question set to your specific program instead of making you delete your way through a master template. And it documents the inputs, assumptions, and removals, giving you an audit trail your stakeholders and suppliers will appreciate.

It turns your program data and results into executive-ready communications, the narrative, not just the numbers. Give it the substance and your audience, and it produces a structured draft framed for leadership, saving you hours of shaping a program update, savings story, or briefing.

Because storytelling is where buyers say AI is already earning its keep. In GBTA’s January 2026 Outlook Poll, “improving data analysis and storytelling for internal stakeholders” was the top way buyers said AI is impacting their role today, cited by 45%. This tool is aimed squarely at that, turning your program work into executive influence, faster.

You provide the substance, your program results, key data points, and context about your audience and goal, and the agent structures it into a polished executive communication you can edit and deliver.

No. It works only with what you give it in the session. It doesn’t connect to your TMC, expense system, or reporting tools, you bring the numbers, it brings the structure and framing.

It’s a draft you shape, not a script you read. The value is speed to a strong structure, you keep your own voice by editing before it goes anywhere.

Anyone who has to justify or explain their travel program to stakeholders. If you’ve ever had to make the case for your program’s value, prep a leadership update, or defend a budget, this is built for that moment.
